FREE FIELD GUIDE / PLANNING / ORIGINAL GUIDE & STATUS BOARD
Keep an information log when updates are unreliable
Separate confirmed information, uncertain reports and household decisions on one readable page.
Choose a small set of trusted sources
During preparation, identify the local authorities and service providers relevant to the hazards in your area. Keep their ordinary contact and information channels on paper. A search result, social post or forwarded image is not automatically an official current instruction. Record the issuing organization and original source whenever you can. This guide does not add a radio or messaging capability to the app; it helps organize information obtained through whatever safe, available methods you already have. If no update is available, record that absence instead of inventing a current status.
Use separate columns for facts and decisions
Make columns for time received, source, affected area, message, confidence or unresolved question and the household action taken. Keep the message distinct from your interpretation. For example, a utility's estimated restoration time is different from the household's decision to review its plans at a particular time. Do not rewrite the estimate as a guarantee. Short entries are easier to compare than a running paragraph that mixes several events. Keep the original notice or a clear reference to it when possible, so another household member can see what was actually stated.
Label uncertain reports explicitly
If a report cannot be confirmed, write what is uncertain and who could clarify it. Do not let a repeated rumor gain a stronger label merely because several people forwarded the same image. Check the date, location and whether the report applies to your own service area. Avoid adding a dramatic interpretation that the source did not make. When immediate safety is involved, follow the appropriate official instructions and seek qualified help when available; this organizational sheet is not a method for deciding that a dangerous area is safe.
Give the log a keeper and a backup
Ask someone to maintain the board and explain how another person can take over. Agree where it lives and how confirmed changes will be shared with household members who cannot easily read or reach it. Do not require constant checking that drains the only available device or distracts someone from an essential care task. Choose review times appropriate to the situation and official guidance, while allowing urgent instructions to take priority. Keep personal details, access codes and private health information out of a board that visitors or helpers may see.
Keep older entries instead of silently rewriting them
When information changes, add a dated update and identify what it supersedes. This helps explain why an earlier household decision was reasonable and prevents people from acting on an old note found elsewhere. Mark a completed action separately from a continuing instruction. If the destination or contact arrangement changes, update the relevant household plan as well as the log. Avoid retaining unnecessary copies of sensitive messages after their purpose has ended. A clear short history is useful; a disorderly archive of every forwarded message can make the current position harder to find.
Use the record to improve preparation
After the disruption, review which sources were accessible, which notices were ambiguous and which decisions lacked a clear owner. Check whether the paper contact list and map folder contained enough context. Turn the problems into specific tasks, such as adding an official service-area reference or obtaining an accessible version of an instruction sheet. Do not treat the event log as a permanent statement of road, utility or shelter conditions. Keep its date and historical purpose visible. The next event may involve different affected areas, available channels and official instructions.
